How to Organize Your Estate Planning Notarization Party
Step 1: Gather Your Documents
Before the appointment, make sure your estate planning documents are completed and ready for signing. Documents may come from an attorney, an online document provider, state-provided forms, or another source selected by the signer. White Rose Notary Services does not prepare, select, modify, or provide legal advice regarding estate planning documents.
Do not sign or date the documents before the notary arrives.
Step 2: Arrange for Witnesses
Each signer is responsible for knowing the witness requirements for their documents and arranging for the required witnesses.
WRNS recommends witnesses who:
Are at least 18 years old
Have valid government-issued photo identification
Are neutral parties with no direct or indirect interest in the transaction or documents being signed
When appropriate, participants in the notarization party who meet these criteria may be able to serve as witnesses for one another. Witness assistance may also be available upon request but is not guaranteed.
Step 3: Request Your Notarization Party
Submit the Estate Plan Party Organizer Form with your preferred date, time, location, and expected number of signers. This information allows White Rose Notary Services to review the request and provide an estimate for the coordinated appointment.
Step 4: Choose a Comfortable Location and Time
Choose a quiet, comfortable location with adequate seating, a table or other suitable signing surface, and good lighting. A calm setting with limited distractions helps the appointment proceed efficiently.

A credible witness with proper identification may be used to establish the signer’s identity under oath when permitted. The credible identifying witness is separate from any witnesses required for the estate planning documents.

If you'd like, offer light refreshments and create a comfortable atmosphere for participants. The notarization should remain the focus of the appointment, but the gathering can still be relaxed and enjoyable.
